Role description


LOCATION:     Sheffield

SALARY SCALE:     £ 4,160 per annum pro rata (FT equivalent £19, 500)

HOURS OF WORK:     8 hours per week. This is initially a one year contract.

MANAGED BY: MESH Development Manager

To assist with the administrative and clerical tasks in order to support the work of the MESH team and ensure the smooth running of case management and financial systems.


  1. Answer phone calls, respond to phone messages and email enquiries promptly and notify relevant staff member of important information.

  2. Collect, open, sort and distribute incoming correspondence.

  3. Greet and assist visitors to MESH.

  4. Maintain electronic and hard copy filing systems.

  5. Respond to all mediation enquiries promptly and follow procedure for each area.

  6. Liaise with Development Manager to assign cases to Associate Mediators.

  7. Liaise with Family Mediator on availability and bookings.

  8. Manage the online room booking system to meet case requirements.

  9. Deal with all invoices, expense claims and payments in the first instance.

  10. Perform data entry where necessary.

  11. Undertake additional clerical tasks including photocopying, typing, printing and posting correspondence.

  12. Be responsible for ordering office supplies.

In addition, the post-holder will be expected to:

  1. Handle all information in a confidential manner.

  2. Have good interpersonal skills and handle telephone enquiries with sensitivity and in a supportive manner.

  3. Coordinate office requirements with an independent approach.

  4. Develop and update administrative systems to make them more efficient (in consultation with the Development Manager).

  5. Be personally responsible for work time and work management and to record appropriately.

  6. Be responsible for handling and recording individuals’ petty cash float.

Working conditions

  • The post will be based at Scotia Works, Leadmill Road, S1 4SE.

  • The post will be line managed by the Development Manager.

  • Supervision: regular supervision with Development Manager.

  • The post is based on an 8 hour week (two mornings/afternoons). Flexible working hours will be required with very occasional evening and weekend work.

  • Holidays – 6 days per year (including bank holidays).

  • 4% pension contribution.

  • The post is subject to the successful completion of two references.

Person & Experience Specification:


  • Proven experience of working in an administrative or operational role.

  • Demonstrable experience of supporting a small team in a similar environment.

  • Demonstrable experience of IT skills such as mail merge, data inputting, email, spreadsheets, google suite.

  • Some experience of financial administration.


  • Excellent communication skills both written and verbal.

  • Professional and confident telephone manner.

  • Meticulous attention to detail and a high level of accuracy.


  • An appreciation and understanding of the importance of confidentiality.

  • The ability to deal with a wide range of people with good humour, tact and diplomacy.

  • Confident, organised and efficient with the ability to prioritise and manage multiple tasks.

  • Able to work to tight timeframes.

  • Hard-working and reliable.
